7. Setting Up a New Race in a PHC Series

Setting up the first race of the season for Division Group 67, the Off the Beach Monohulls.

  1. From the Main Entry Page select 1 Select Series

  2. Select PHC 67 from the list, then press OK

  3. From the Main Entry Page select 1 Select/Setup Race
The Race Setup Page appears.
Input Data for this race
Sunday October 8
Div. 6 and 7 : Pointscore Series 1 - Race 1
Start = 14.09 AM for both Divisions 6 and 7
Activate the race for the FTE
  1. Select Add New Race

  2. Select Race Date

  3. Type 0 in the Start spacing box

  4. Tick the Use for HCing box

  5. Make sure the THE Active race of Series box is ticked

  6. Enter Start time "14.09.00" and Division "6" in the Start list box

  7. Select Add New Start and enter Start time "14.09.00" and Division "7" in the second Start list box

  8. Type "Pointscore Series 1 - Race 1" in the Race Name/Note box

  9. Select Accept
The first Division Group 6, 7 race is now set up, and Competitors can be entered into the Database using the data from the Division 6 and 7 Sign on Sheets.

8. Entering New Competitors in a Race, Series and Database

When starting the season with a new (empty) Database, all Competitors on each Sign On sheet must be entered before the first race.

Make sure you have selected the correct Series and Race.
Then Select from the Main Entry Page :

  • 3 Add Additional Competitors to this Series > > Create NEW Competitor and Enter into THIS Race and Series

This opens the Add a NEW Competitor to the Master Lists screen.

  1. Tick Add to Series, Add to Race and Include Boat Name

  2. Untick Include Crew

  3. Enter Sail Number, Class Name and Boat Name
    If a same Sail number already exists, add "A" behind the number (e.g. 57A). This can be removed later on the "Edit Skipper/Boat Details" screen

  4. Enter Class Name (Tasar, Laser, Sabre, etc.)
    (For Keelboats enter "D1" or "D3" or "D4" or "D5")

  5. Enter Boat Name
    The same Boat Name (e.g. for hire boats) can be used for different competitors

  6. Enter Skipper First and Last names

  7. Enter N in the Visitor box

  8. For Handicap Group : press the spacebar in the ADD field for "Y" (Yes)
    For Div.1 & 4 enter Competitor's AMS value for AMS and Keel TOT HC Group
    For all other Competitors enter value = 1.000 in either Class HC or Mixed Class HC Group

  9. Select Safe New Competitor button

  10. Repeat the above process for all Competitors in the Series.

To enter an Existing Competitor in a new race in this Series :

  1. Select on the Main Entry screen > > 6 Enter Existing Competitor into Race

  2. Double click in the ADD box behind the Competitors name so that a + sign appears

  3. Then select Accept

Note the vertical orange line on the right of the screen. When dragging this line to the left the Handicaps of all Competitors are show. You can add to these or correct them as required.


To enter an Existing Competitor in a new race in another Series select on the Main Entry screen :

  1. 3 Add Additional Competitors to This Series > > Add EXISTING Competitor as Series Entrant to THIS Series

  2. Double click in the ADD box behind the Competitors name so that a + sign appears

  3. Handicap Groups on the right of the Orange vertical line
    For Div.1 & 4 enter Competitor's AMS value for AMS and Keel TOT HC Group
    For all other Competitors enter value = 1.000 in either Class HC or Mixed Class HC Group

  4. Then select Accept

9. Entering Finish times in the FTE window

Repeat the process outlined under Chapter 7 and Chapter 8 above for all Division Groups that race on this Race day. Then select from the Main Entry page :

  1. 1 Select Series

  2. Select FTE 1 form the Series listed on the screen

  3. Select 9 Enter Finish Times from the FTE 1 Main Entry screen

  4. Type in Boat number and Finish time, then select Accept
    Repeat this for all finishers. Type DNF for those who did not finish, or Penalty (e.g. OCS) as required

All Finish times are automatically distributed to their appropriate PHC Series and race.

10. Processing a Race and Presenting its Results

When all Finish times have been entered in the FTE 1 window, close the window, then navigate to each of the Series in turn.

  1. Select 2 Select/Setup Race

  2. Press Select Race, then select the current (last listed) active race > > Accept > > Close

  3. Select from the Main Entry screen 9 Enter Finish Times and double check that all Competitors in the race have received their finish time, DNF or penalty. Then select Close

  4. Select 10 Process Race, then Process and when processing is completed press Close
    (When prompted add the appropriate Division number to a Class boat displayed in the pop up field.)

  5. Select from Main Entry screen 10 View/Print Reports >' > View Results

  6. A set of results is presented for each of the calculation modules which was selected when creating the Series (Chapter 5 Step 7).
    The results for each Division in the Division Group are displayed and printed out separately.

  7. Select each set of results in turn, then press This Group to print out the Results

  8. When all results for this race have been printed, close the window, and return to 2 Select/Setup Race, select the active race, press Edit Race, then Untick the "Active Race" box. This deactivates the race from FTE 1.
Then navigate to the active race in the next Division Group and repeat the above steps. Process all active races in this way.

WARNING ! !
Always process a race first before setting up the next race. Failing to do this will cause problems.

Top Yacht remembers in its active Database section the Initial handicap and the calculated handicap for the last race in the Series.
Therefore, when you alter the results in a previous race, that race and all following races in the Series must be reprocessed in order to recalculated handicaps and their results and to enter the updated last handicap in the Database.

11. Entering PHC Details into a Logbook

The PHC Series for a Division Group contains all races raced during the entire season.
To keep track of which PHC race represents which actual Series race I strongly recommend you keep and maintain a Logbook containing all details concerning each race's identification.

Use for this purpose a small 50 cents Exercise book or printout copies of the blank Logbook page provided.
Select 2 pages for each Division Group PHC Series, and draw columns as shown on the example below.

To find the various details navigate to the PHC Main Entry screen in question.
  1. Select 2 Select/Setup Race

  2. Press Select Race on the Select/Setup Race window > > Select Race No
    This displays the PHC Race Number and its RID (Race ID)

  3. The Race Date of the race selected is displayed in the "Race Date" window

  4. The Series and Race are displayed in the "Race Name" window, provided of course that you typed this in earlier when setting up this PHC race (Chapter 7 - Step 8)

You can transfer the PHC race data to the appropriate Daughter Series race anytime after processing the HPC race.
Remember : the Daughter race will import both the finish times and calculated handicaps from the PHC race.
For setting up Daughter Series and races see Chapter 13.

After having completed the data transfer tick the Trf Column in your Logbook.

12. Structure of the PHCs and Daughter Series

The Diagram below shows the various Series for the Darwin Sailing Club (DSC) racing season, and the way they are organised and processed in the Top Yacht program.
The Daughter Series which derive their data from their respective Parent Handicap Series (PHC) are divided into two categories :

  1. those that receive both their times and handicaps from their PHC
    These are all the Division Series races. Each Daughter race receives the handicaps as calculated by the PHC race at that point in time.

  2. and those that receive their times only from their PHC
    These are the Class Series races, where the times of all boats of a single class (e.g. Tornados, or Tasars) are extracted from the results. In these Series the handicaps are calculated within the Daughter Series itself.

When a Division runs two Pointscore Series (1 and 2) in a season, the results can be either processed using two Daughter Series, or using one Daughter Series only which can be split in two (or more) sub series as outlined in the TY Ease Guide Chapter 15. The advantage of the latter setup is that an overall result and winner of the combined series can be presented.

A few of the races in the DSC season are excluded from the PHC series. These are fun races, such as the Sandbar race, teams races, etc. The Offshore Series for the keelboats is also scored and handicapped separately, as this Series is only open to a restricted number of boats in the Division Group.
