TY : 11 - Entering or Editing Finish Times for a Race

You can enter Finish Times for a Race in either "Standard" or "Administrator" mode.
First press the Task 9 button ("Enter Finish Times") on the Entry Screen. This brings up the "ENTER FINISH TIMES for Active Races" screen.

  1. Enter the Sail No
    Type the Sail number in the entry field, then press enter (key on keyboard)
    or select the sail number from the Drop down list which contains all competitors in the Race.

  2. Enter Finish Time, then press the enter key or press Accept

  3. If the competitor did not finish the race, did not start, did not compete or was penalised for any reason enter the appropriate 3 letter code in the DNF etc field (type it in or select it from its drop down list), then press the enter key or press Accept

Repeat above process for all competitors. At the end there will be no more Sail number left in the Drop down list, and all Competitors and their Finish times are listed in the large field below. Then Close the window to return to the Entry Screen.

You can access the Finish Times columns in this list and edit them at any time or enter a 3 letter code in the DNF column.
Codes in the DNF etc Drop down box are
ABN = Abandoned (Needs ALL in the Division)
BFD = Black Flag Disqualification 30.3
DNC = Did Not Come to the starting area
DNE = Disqualification Not Excludable 88.3(b)

DNF = Did Not Finish
DNS = Did Not Start (other than DNC and OCS)
DSQ = Disqualification
DUT = Sailor on Club Duty for this race

ESP = Event Specific Penalty
OCS = On Course Side start line 29.1 or 30.1
PRO = Protest Pending
RAF = Retired After Finishing

RDG = Redress Given
RR   = Round Robin exclusion
SCP = Took a Scoring Penalty under rule 44.3
ZFP = ZFlag 20% penalty 30.2

Also note that the CID identification number for all competitors are also shown in a right side column of this list.

In the DSC there are usually several different Series active on any given race day. For example the Tasars may do a race in a Pointscore Race, while the cats are racing a Harbour Course, and so on.
In such case set up all races (and new Series if required) as soon as all completed Sign On Forms are at hand. You can then enter results in any race as they come in, when necessary switching from one race in one Series to an other race in another Series. (see
TY-2 and TY-3).

TY : 12 - Processing a Race

You can process a Race in either "Standard" or "Administrator" mode.
First press the Task 10 button ("Process Race") on the Entry Screen. This brings up the "PROCESS RACE" screen.

  1. Press the Process Race button. This processes the Race with the latest available Data

  2. In some cases a Popup Menu may appear asking you to specify the Division for certain Class or Classes of boat. Enter Division numbers accordingly, then Close the Prompt window. The Race will then be processed.

  3. Press Close to return to the Entry Screen

Whenever you edit Finish times or change any other data, such as Handicaps or Yardsticks, it is necessary to reprocess the race again. Simply follow the steps shown above. See also under TY-17 (Editing Handicaps) and TY-18 (Editing Yardsticks).

TY : 13 - View and Print the Results for a Race

You can view and print the results of a single Race in either "Standard" or "Administrator" mode.

  1. Press the Task 11 button ("View/Print Reports") on the Entry Screen. This opens the drop down list from View Menu on the top Menu bar

  2. Select View Results. This opens the Results window for the selected Race

  3. Press on the Mixed Class YS to display the Yardstick results

  4. Press on the Display/Hide Columns, then delete or add the Columns you wish to include in the Printout
    Drag the column width so the printed report looks good. Settings need to be done for each screen, but will be remembered

  5. Make sure the Hide DNCs box is ticked, so that competitors in the Series who did not compete in this race are not included on the Printout

  6. Press This Group to print out the Results

  7. Press the Mixed Class HC button to display the Individual Handicap results.
    Then repeat steps 4, 5 and 6 above

  8. Press Close to return to the Entry Screen

Be aware that the two types of results are only available and displayed on the Results screen provided the Series to which this race belongs has been set up correctly.
On page 3 of the "Series SU Wizard Form" the two boxes Mixed Class YS and Mixed Class HC must both be included (see TY-2 Creating a new Series).

TY : 14 - Viewing Results for a Series

When two or more races have been processed in a Series Top Yacht calculates aggregate scores and handicaps for that series. These can only be viewed and printed in "Administrator" mode of Top Yacht Version 8 (but in both modes of Version 9).
To view the aggregate results for all races recorded so far in the Series :

  1. Press the Task 2 button on the Entry Screen, select the last Race in the Series on the "Select/Setup Races" window (see TY-3), then return to the Entry screen

  2. Now select from the Top Menu Bar >> View >> Series Scores
    Make sure you are in Administrator mode, otherwise the "Series Scores" item will not show up !

  3. The "Series Scores" window appears, showing all results and aggregate results up to and including the selected Race in the Series

  4. Press Mixed Class YS (Division) to display the aggregate Yardstick results

  5. Press the Display/Hide Columns button and select the columns to be printed, then press This Group to Print out the Results

  6. Press Mixed Class HC (Division) to display the aggregate Handicap results.
    Press the Display/Hide Columns button and select the columns to be printed, then press This Group to Print out the Results

  7. Press Close to return to the Entry Screen

The races and aggregate scores displayed are those up to and including the Race you have selected in step 1 above. To obtain the results of all races in the Series make therefore sure you select the very last race.

TY : 15 - Creating Sub Series within a Series.

To create Sub Series within a larger Series you need to define both the last race and the first race for the Sub series. Do this in "Administrator mode".
The last race of the Sub Series is defined by the Race you select under Task 2 on the Entry Screen.
The first race of the Sub Series is defined under Series Results like this :

  1. Select from the Top Menu Bar in Administrator mode >> View >> Series Scores

  2. Tick Aggs for Sub Series box

  3. Enter the race Number of the first race in the Sub Series into the From Race field

  4. Type the name for the Sub Series into the Sub Series Title field

  5. Press Refresh to bring up the results for the defined Sub Series

  6. Print out the Yardstick and Handicap results as per normal procedure

Example
Take a pointscore Series with a total of 15 races to be subdivided into 3 Pointscore Sub Series of 5 races each.
Sub Series Pointscore 1 (Races 1 - 5)
Press Task 2 on the Entry Screen, then select Race 5 (This will be the last race in this Sub Series)
Select from the Top Menu Bar in Administrator mode >> View >> Series Scores
  1. Tick Aggs for Sub Series box
  2. Enter the race Number 1 into the From Race field
  3. Type the name "Pointscore Sub Series 1" into the Sub Series Title field
  4. Press Refresh to bring up the results for the defined Sub Series
  5. Print out the Yardstick and Handicap results as per normal procedure
Sub Series Pointscore 2 (Races 6 - 10)
Press Task 2 on the Entry Screen, then select Race 10 (This will be the last race in this Sub Series)
Now go to the Top Menu Bar in Administrator mode >> View >> Series Scores
  1. Tick Aggs for Sub Series box
  2. Enter the race Number 6 into the From Race field
  3. Type the name "Pointscore Sub Series 2" into the Sub Series Title field
  4. Press Refresh to bring up the results for the defined Sub Series
  5. Print out the Yardstick and Handicap results as per normal procedure

Sub Series Pointscore 3 (Races 11 - 15)
Press Task 2 on the Entry Screen, then select Race 15 (This will be the last race in this Sub Series)
Now go to the Top Menu Bar in Administrator mode >> View >> Series Scores
  1. Tick Aggs for Sub Series box
  2. Enter the race Number 11 into the From Race field
  3. Type the name "Pointscore Sub Series 3" into the Sub Series Title field
  4. Press Refresh to bring up the results for the defined Sub Series
  5. Print out the Yardstick and Handicap results as per normal procedure
If you specify (see TY-19) to drop say 1 race after 5 races, drop 2 after 10 races and drop 3 after 15 races this will be incorporated in the overall Series aggregate results as well as in each of the Sub Series.

TY : 16 - Viewing Handicaps for a Series

To view the Handicap data for a Series, first select the last race in that Series (Task 2).
Then select the "Administrator" mode and proceed to :

Top Menu Bar >> View >> Handicap Data >> Summary Data
This displays the
ACH - Allocated Handicaps
BCH - Back Calculated Handicaps
CHC - Calculated Handicaps

Use the Average Back Calculated Handicap (AvBCH) as the initial handicaps for a new Series.

TY : 17 - Allocating or Editing Personal Handicaps

You can enter or edit individual handicaps in either "Standard" or "Administrator" mode.
To enter new handicaps :

  1. Press the Task 3 button ("Add additional Competitors to This Series") on the Entry Screen.
    Then select Add EXISTING Competitor as Series Entrant to THIS Series

  2. The Master list screen with all competitors appears

  3. Select the required Competitor, double click in the ADD field so that the plus sign appears while the cursor moves into the MIXEDCLASSHC field on the right side of the screen

  4. Enter the new Handicap then press the Enter key

To edit existing handicaps in a Series :
  1. Select the Race, then press the Task 6 button

  2. Use the mouse to drag the orange vertical bar on the right of the screen to the left to 'unhide' the Handicaps list

  3. Edit Handicaps as required

  4. Press Accept to save the new handicaps
If you do above operation after some races have already be processed you need to reprocess all races again to let the new Handicap and its progressive calculations work through the successive races.

TY : 18 - Creating or Editing a Class or Yardstick

To create a new Yardstick or edit an existing one select either "Standard" or "Administrator" mode.

  1. Select from the Top Menu Bar :
          Maintain >> For Master List >> UpDate Class Data

  2. The Add/Edit Class Information screen appears

  3. Press the Create New Class button, then fill in the details for the new Class in their appropriate fields

  4. To edit and existing Class, first select the Class from the drop down box (under "Class Name")

  5. then press the Edit Existing Class button and edit its details as required

TY : 19 - Dropping one or more Races in a Series

To specify the number of races to be dropped in a Series first select the "Administrator" mode.

  1. Press the Task 1 button on the Entry Screen, then select the required Series from the list which appears

  2. After returning to the Entry Screen select from the Top Menu Bar :
          Series >> Set up a Series

  3. This brings up Page 1 of the Series SU Wizard Form

  4. Press the Radio button for Specify then type in the number of races to be dropped as required

  5. Press Close to return to the Entry Screen
(Top Yacht encourages Clubs to use the Exclude X% option on Page 1 of the Series SU Wizard Form, specifying in the order of 20% or 25%.)

TY : 20 - Recalculating Handicaps at the end of a Series

You can fine tune the personal handicaps by recalculating them at the end of a Series.
To do this first select the "Administrator" mode.

  1. Select from the Top Menu Bar >> View >> Handicap Data >> Summary Data

  2. Select in the Display field at the top left of the screen the the radio button for either
          the AHC (Allocated Handicap)
          the BHC (Back Calculated Handicap) or
          the CHC (Calculated Handicap)

  3. Then press Copy Average HC to first race

  4. Press Close to return to the Entry Screen

  5. Press Task 2 on the Entry Screen, then select the last race in the Series (see TH8-3)

  6. Press Task 10 on the Entry Screen

  7. Press the right hand one of the two small square buttons at the bottom left of the Process screen.
    This progressively recalculates all handicaps and reprocesses all races of the Series in sequence

Above process may change the placing of Competitors at the end of a race.
Therefore before proceeding with this operation consult with the Sailing Master and receive his approval.

TY : 21 - Editing Divisions in a Series

At some occasions 2 or more Divisions in the same Series may wish to join together and compete in one and the same race.
In the DSC Classic Series for multihulls for example the Tornados of Division 8 join the rest of the cats from Division 9 into a Series of races in which all compete on Yardstick and Handicap.
Top Yacht facilitates this with a very simple procedure in "Administrator" mode.

  1. Select from the Top Menu Bar >> Maintain >> For THIS Series >> Edit Divisions in Series

  2. The DIVISIONS/CLASSES FOR screen appears

  3. Edit the DIV column so that all Classes in the Series have the same Division number
    (For example change the Division number for the Tornados from 8 to 9)

  4. Press Close to activated the changes and return to the Entry Screen
This procedure brings all boat classes together into a single Division, while maintaining all the different Yardsticks and Handicaps.

TY : 22 - Entering Finish times for Races in different Series

This is an advanced procedure. Use it once you are very familiar with Top Yacht.

At the DSC each race day usually consists of a number of different races for various Divisions in several different Series. This means that when Finish times come to hand it is often a matter of entering some Finish times for a race in one series, then switching to another race in a different Series to enter some Finish times in there. This is a somewhat cumbersome process switching backwards and forwards between different Series.

Top Yacht has a solution to this problem through the so called Active Race Series procedure. This enables the entry of Finish times for races in different Series from just one and the same screen.

To set this up requires four distinct steps

Step 1 - Setting up a Finish Time Entry ("FTE") Series.
            This is a 'phantom Series' which contains the screen for all finish time entries

Step 2 - Linking new or existing 'real' Series to the FTE facility

Step 3 - Activating the race in each Series which is to receive Finish Times from the FTE

Step 4 - Open the FTE created in Step 1, enter the Finish Times for all competitors as they come in, then process and print out each race as normal

Steps 1 and 2 are one of procedures required for the first time only. Once this is done, new races for following weeks in the linked up Series only require Steps 3 and 4.

Step 1 - Setting up the Finish Time Entry Series

Select the "Administrator" mode.
  1. Select from the Menu bar at the top of the Entry Screen >> Series >> Create New Series
    This brings up Page 1 of the "Series SU Wizard Form"

  2. On Page 1 type in the Name for the Finish Time Entry phantom series in the "Series Name" entry field, for example FTE 2006 - 1

  3. Still on Page 1, select from the Drop down box for the Series Type field the item called "Finish Times Entry"

  4. Press the Accept button, then the Next button to progress to Page 2

  5. Leave Page 2 (Advanced Settings) as it is with all its Default settings. Simply press Next to progress to Page 3

  6. On Page 3 press on Add New Group. This produces a pop down list with several choices. Select any one group only, for example Mixed Class YS. This is just to keep the software from complaining that it does not have a group

  7. Now press Close which brings you back to the Entry Screen

Step 2 - Linking new or existing Series to the FTE facility

Select the "Administrator" mode.
For any new Series set it up as usual with the appropriate entries on pages 1 and 3 of the "Series SU Wizard Form" (see TY-2). Then for both new and already existing Series :
  1. Select from the Menu bar at the top of the Entry Screen >> Series >> Set up Series
    This brings up Page 1 of the "Series SU Wizard Form"
    Press Next to proceed to Page 2

  2. On Page 2 select from the SHARING FINISH TIMES. This Series.... drop down box the item "ACTIVE Race Series fed by Finish Times Entry Series"

  3. As soon as you have completed above selection (2) a second Entry field called Finish Time Series appears on the screen. Select from its Drop down box the appropriate FTE name

  4. Press Close to return to the Entry Screen
Repeat this process for each Series you wish to link to the FTE facility.
After including all, you can check them on the Series list (press "Select Series" Task 1). All Series linked to the FTE will be highlighted in green.

Step 3 - Activating a race in a Linked Series to receive Finish Times from the FTE


Select either the "Standard" or "Administrator" mode.
  1. Select Task 2, Selecting a Race in a Series

  2. Press on the Select Race button, then select the Race to be activated

  3. Tick the box for the item THE Active race of Series near the bottom left corner of the "Select/Setup Races" screen.
    This activates the race to receive Finish times from the FTE

  4. Repeat above process for all races to be activated (only one race in each Series of course)

Warning
You can have several Series for the same Division linked to the FTE. But for regular Club races make sure only one race in one Series for each Division is active at any time, otherwise some competitors will have more than one active entry in the FTE.
In Championships or similar special events a Comptetitor may compete in several Series at the same time. In such cases TY allows the one Finish Time for a competitor to go into several races at the same time.
For example a competitor may compete with the same race in the overall open competition as well as in a special Seniors Division.

Step 4 -Entering Finish times and processing each race
  1. Select the FTE you created in Step 1 above (via Task 1 on the Entry Screen)

  2. Select Task 9 (Enter Finish Times) from the FTE Entry Screen.
    A standard "ENTER FINISH TIMES for Active Races" screen appears

  3. Enter the Finish Times for all competitors from all active races as results come in.

  4. After completion, select each Series and its active race in turn (TY-2 and TY-3), then process and print the results as per normal procedure (TY-12 and TY-13)

  5. De-activate each active race. To do this
    1. Select the active race in a Series, by first pressing the Task 2 button on the Series' Entry Screen
    2. then press the Select Race button on the "Select/Setup Races" screen
    3. Press the Edit Race button
    4. Untick the THE Active race of Series check box

  6. The race is now de-activated. Press Close to return to the Entry Screen
